Media synchronization
WhatSyncs securely synchronizes available media alongside your conversation data — voice notes, images, videos, PDFs and documents — giving your CRM access when it needs it. The brochure that closed the deal belongs on the record, not in a phone gallery.
Supported content
Media availability depends on what the linked WhatsApp session exposes. Where it is available, these are the types WhatSyncs handles.
Often the most informative part of a thread — the caveat nobody wrote down.
Site photos, damage reports, screenshots of a competing quote.
Walkthroughs and product demonstrations sent from the field.
Brochures, quotations, invoices and signed contracts.
Spreadsheets, presentations and other files shared in the conversation.
Audio files beyond voice notes, handled the same way.
How it works
Media does not arrive inline in the webhook. When a file finishes synchronizing, WhatSyncs emits a media event referencing the message it belongs to, with metadata and a short-lived download URL. Your worker fetches the file with your API key and stores it wherever your records live.
Yes. Available media — images, videos, documents and PDFs — is synchronized alongside the conversation data and can be retrieved through the API, so attachments end up on the customer record rather than on one person's phone.
Media is stored against the message it belongs to and served through authenticated endpoints. A download URL alone is not sufficient to retrieve a file; your API key is required, and URLs expire.
Yes, and most teams do. Download the file when the media event arrives and store it wherever your records live — an S3 bucket, your CRM's file API, or your own document store.
Metadata arrives first, including the size in bytes, so your integration can decide whether to download, defer or skip before spending bandwidth on it.
FAQ

Yes. Voice notes and other audio messages are treated as media: they are synchronized with the conversation and made available for download through the API.
Every message carries a stable identifier, and WhatSyncs reconciles messages seen through real-time events, reconnects and history synchronization against it. Webhook deliveries also carry an idempotency key so a retry does not create a second record in your CRM.
